Manage Users

Task Description

Manage company users to create a global list of users - and their permissions - who can be assigned to one or more active projects.

Navigation Path

Admin > Users > Add

Steps

  1. Select the Add User link.
  2. Complete all required user information.  Use text fields to enter:
    1. First Name
    2. Last Name
    3. Company Position
    4. Email
    5. Username & Password
  3. As desired, use text fields and pull-down menu to enter optional information:
    • License Number and License Expiration Date - if applicable for a realtor
    • Sales Commission Type, Commission and Commission Description is currently only for reporting purposes.
    • Any custom user fields created by the company administrator

Permissions and Roles

 

  1. Select Permissions & Roles
  2. Select user permissions using the pull-down menus for the each module.  
    1. Administrator - company and project setup, data library, exports, imports, etc.
    2. Directory - rolodex of contacts for trade partners, mortgage companies and brokers
    3. Document - manage documents stored in BT
    4. BT Reporting - running standard and user created reports
    5. Sales - Sales Management and Sales Rep functionality
    6. Bidding & Contracting - the bidding and contracting process
    7. Project Management Role - Scheduling & Purchasing
    8. BT Service - customer service
    9. NSO - Non standard option work flow in BT
    10. BT Mobile - access project management functionality from your mobile device

Note: Both usernames and passwords are case-sensitive, so note use of upper- versus lower-case.  In addition, each must be a minimum of six digits.

Note: The password field is encrypted for security and the user's protection.

Notes

Use this to update information for an existing user in BuildTopia. From this screen you can also send the user an email, Manage Projects the user is associated with, Manage Permissions & Roles and Manage Message Forwarding

Notes

Use this to add or remove the user from specific projects.

Steps

  1. To Associate:
    1. Click the Unassociated tab
    2. Use the Checkbox to add the user to the project
    3. Click the Associate Selected Projects button.
  2. To Unassociate:
    1. On the Associate tab
    2. Use the checkbox to remove the user from an associated project.
    3. Click the Unassociate Selected Project button.

Archive/Delete User

Notes

Use this to archive an existing user from BuildTopia. You can not delete a user.

Steps

  1. Select the Archive status
  2. Select Save
