Manage Options

Description

Options define the user's global option listing (or list of assemblies) that is used to "build" the available selection list for plan types. Options are attached to plans so that the sales can view and sell the options that are available. Options can be "lot dependent" meaning that they may or may not be available depending on the structure or make-up of a lot. Options are costed at the Project level - usually before the SR has selected any Workup Options.

Notes

For the BTBuilder application, each option code must have at least one attached activity.
For the BTSales application, options do not require activities.
Options can be added to the Data Library at anytime by uploading from a template or manually.
Changes made to the option code definition will not update existing generated Activity Lists. If you want to apply the changes to the activity list, you will need to manually update the list.

Add Option Codes

Data Library > Options > Option Codes

Steps

Select the Add Option Code link.
Use the text field to enter the Number.
Use the text field to enter a URL to be displayed in the option selection area.
Use the text field to enter the Description.
Use the pull-down list to select the Option Category.
Use the pull-down list to select the Status (Available, Lot Dependent, Pricing, Standard, Unavailable) Note: Status of 'Pricing' makes option available to Bidding & Contracting to cost but not available to Sales.
Leave the default Pricing as Fixed or use the radio button to designate pricing as Overridable.
As appropriate, use text fields to enter the optional information: Internal Notes.
Select Add Activity Code button to assign an existing activity to the option code.

Select one or more checkboxes for the Activities to be added.
Select the Add Activity(s) button to add the selected activity(s).

Select Add Activity Code button to assign an existing activity to the option code.

Select one or more checkboxes for the Activity Packages to be added.
Select the Add Activity Packages button to add the selected activity packages.

Select Save to save the option code and return to the Option Codes List screen.

Edit Option Codes

Steps

Select the Edit link for the specific option code to be modified.
Follow steps 2 through 10 above in the Add Option Codes sub-task.
Select one of the following;

Save to save the selection and remain on the Edit Option Code screen.
Save & Exit to save the option code and return to the Option Codes List screen
Cancel to discard your changes.
Save & Update Plans to save the option code and flow the changes to other objects the option code is associated too.

Listed are all plans that the option code is associated. Select the attributes to update the information and then select the plan(s) and/or Pending Workups & COs to be updated. Continue by selecting one of the following;

Update Selected to update the plan(s) and remain on the Edit Option screen.
Update Selected & Continue to update the plan(s) and continue to select the projects that will be updated with the current plan option status. Select Skip to not update any plans and continue to select the projects that will be updated with the plan option status. Note: If you do not select any plans and choose this button BuildTopia will return an error message instructing you to select a plan before continuing.

Select the project(s) that should be updated with the current Plan Option Status by selecting the corresponding checkboxes.
Select Update Selected & Exit or Exit to discard changes and return to the option list.

Exit to not update any plans and continue to the Option Code list.

Note: You can also update the Option Status within Data Library > Plans > Options and PS > Plans > Options. You have the ability to have different option status at the Data Library, Data Library Plans and Project Level. Below is a graphical depiction of how option statuses can be different.

Archive Option Code

Data Library > Options > Option Codes

Steps

Select the Edit link for the specific option code to be modified.
Select Inactive in the Status field.
Select Save to save the Option Category and return to the Option Code List screen.

Copy Option

Steps

Select the Copy Option Code link.
Enter the information to search for the option code to copy.
Select Copy link for the option code to be copied.
Edit the information that needs to change
Select Add Activity(s) button to assign an existing activity to the option code.

Select one or more checkboxes for the Activities to be added.
Select the Add Activity(s) button to add the selected activity(s).

Select Save to save the option code and return to the Option Codes List screen.

Delete Option Code

NOTE:

Only option codes that are not associated to any plans can be delete.

Steps

Select the Delete link for the specific option codes.
