Schedule Creation

Description

The user with Project Management permissions is prompted by Sales to accept the Release to Production on a given lot. Once the lot is accepted into production purchase orders may be generated depending on your company settings. Once the schedule is created for a lot, start and finish dates are locked unless the schedule is pulled back. This section describes the processes and tasks involved in creating the construction schedule. Notes

When a lot is released to production the activity list can be generated based on your company settings See "Setting the budget settings" for options. Depending on these settings in Admin > Company Setup, the original budget is captured at either Release to Production or schedule approval. If you have enabled the activity list to be generated at Release to Production, you now have the ability to generate purchase orders.

Notes

When a lot is released to production the activity list can be generated based on your company settings See "Setting the budget settings" for options. Depending on these settings in Admin > Company Setup, the original budget is captured at either Release to Production or schedule approval.

It is recommended the user creating the lot schedule review the activity list, original budget, all options, change orders, and NSOs prior to starting the schedule on the selected lot. Options and activities may impact the user's decisions regarding appropriate schedule template to use, task and phase duration, activities and trades included, and sufficient unit of measure quantities in the job.

All of the above may be edited or modified prior to approving the schedule.

Steps

  1. Select Activity List, Edit, Options, CO, NSO, or Variance Log link to review the various details included in the lot.
  2. Select the printer icon to review lot details in one of four formats. See Printer Icon for format descriptions.
  3. Proceed to Start Schedule when review is complete.

Note

  • The lot must be accepted into production first.
  • Recommended practice: The user starting a lot schedule should Review Lot Details prior to selecting a start date and attaching a schedule to a lot. Decisions regarding schedule template selected and task durations may be impacted by options and activities associated with a lot and plan.
  • User with Project Manager permissions may override default schedule template attached to the plan in the data library.
  • The company calendar is the default when the schedule is calculated. If the company calendar needs to be overridden for this lot, select Company Calendar after you Calculate Schedule. The start date will not change even if it is put on a non-work day. The system doesn't prevent the user from setting a date on a non-work day. It just takes the working days into account when doing the automated updates based on bumping and precedence.
  • If you generate purchase orders PRIOR to the generation of a schedule, any defined task activity relationships will not effect how the purchase orders are generated
  • Are you going to utilize a Pre-Construction schedule? If not skip to step 3. Otherwise, select the Pre-Construction Schedule Template from the drop down list
  • Select one of the following options to calculate the start date;
    • Imposed date where you will select the to choose a start date for the pre-construction schedule
    • Completion of a task, which will then allow you to select a lot from this project and the specific task for that lot. This is great for multi-family builders that are building shells and managing the shell as a separate lot.
  • Select the Schedule Template from active schedule templates drop down list or use the default template already selected.
  • Select one of the following options to calculate the start date;
    • Imposed date where you will select the to choose a start date for the schedule
    • Completion of a task, which will then allow you to select a lot from this project and the specific task for that lot. This is great for multi-family builders that are building shells and managing the shell as a separate lot.
    • Completion of a Pre-Construction Task where you can select a pre-construction task by selecting Select Task link.
  • Select Calculate Schedule button, or Cancel button to return to the previous screen.
  • Review original start and finish dates, assigned trades and activities per task.
  • Optionally, Add and/or edit tasks on the schedule and approve schedule from this step.

Note

The selected schedule template can be modified at the lot level to account for details of this particular lot. By modifying the schedule prior to the schedule approval, the schedule will capture the original start and finish dates with any necessary adjustments. The schedule can also be modified after you approve the schedule.

Steps

  1. Use the text field to enter the Phase or Task Name.
  2. Enter in the duration of the phase or task, how long the task will take. A phase's duration will be updated to reflect the sum of all tasks within the phase. Since a phase does not have to have any tasks within it, you are required to enter in a duration when adding a new phase.
  3. For a new task, select the Phase from the pull-down menu.
  4. As appropriate, select the Trade from the pull-down menu. You only need to enter Trade here if you are not doing Task - Activity Relationships.
  5. Use the text field to enter the Notification Time. The default Notification time is 7 days. This means that the on-line trade partner will receive notification if the task changes within 7 days of the scheduled start date.
  6. Use the text field to enter the Relative Start Day or as appropriate, select the Predecessors from the Edit Predecessors hyperlink.  Simply select the task(s) or phase(s) that must be completed prior to this phase or task starting and select Done.
  7. Enter the Lag Time
  8. Select the Save button.

Notes

  • Prior to approving the schedule, the user may add and edit task and phase start and end dates and adjust the lot calendar for the selected lot.
  • Original start and end dates may be modified here, and will become original start and end dates once the schedule is approved.
  • Once the schedule is created for a lot  start and finish dates are locked unless the schedule is pulled back.
  • At this point the schedule and generated purchase orders are visible to trade partners with finalized contracts in the project.

Steps

  1. Select the approve schedule link
  2. Review and modify any start and end dates or lot calendar.
  3. Select the approve schedule links for one or both of the schedules on the lot to finalize changes, or pull back schedule link to reset the start date(s).

Notes

  • An approved and active schedule may be pulled back, deleting any modifications to phases and tasks made prior to approval.
  • These steps can be completed for either a Pre-Construction schedule or a Construction Schedule
  • Schedules can be pulled back before and after approval

Steps

  1. Select the Pull Back Pre-Construction or Construction Schedule link.
  2. At the prompt, "Pulling back schedule will delete all tasks and reset the start date.  Do you wish to continue?", select the OK button to continue or select the Cancel button to leave the schedule as assigned.
  3. To reset the date(s) See "Start Schedule"

Generate Purchase Orders

Note

Once the schedule wither been Released to Production or has been approved for the selected lot, purchase orders may be created from either the purchase orders tab or the lot activity list. See Generate Purchase Orders for a full discussion on necessary steps.
