Description

The user with Project Management permissions can update work started or completed from multiple locations in the Lot Matrix. It is recommended the user update schedules regularly to communicate clearly to all users and trade partners the up to date status of construction in real time. This section describes the processes and steps to update completed work. See Work Not Completed for a discussion regarding updating those tasks.

 

Notes

Schedules can be updated in whole or in parts from the following locations:

If the Schedule Update work approval process is used, purchase orders may be launched for approval as a result of updating scheduled task finish dates. (See Payment Approval for a discussion on this topic.)  Depending on which setting is selected in Project Setup, purchase orders may launch at this point for the tasks's associated Trade, or for the activity by task, but not for both trade and task.

 

Recommended practice: For most efficient workflow, from updating tasks through approving purchase orders mapped to those tasks, use the Project Quick Schedule.

Project Quick Schedule is a centralized screen that allows the updates of Start and Finish dates for tasks across multiple lots. The user can use the phrase: 'We got everything done today EXCEPT....' in this process. (Per Steps below, select All Finish for all tasks in all lots, then return to unselect tasks which were not completed)

  • Project Quick Schedule updates only actual start and finish dates.
  • Only checked tasks will be updated based on the update type; Today's Date or Projected Date.
  • Checking on the actual finish date will update both the actual finish and start dates.
  • To change projected dates, select Edit. To edit projected dates, see Manually Update Schedule Tasks.

 

Quick Schedule Filter

Used to filter by lot or groups of lots, by present or future date, and by Trades and/or Trade Partner.

Setting a date in the future allows the user to manage the entire project by reviewing all tasks due prior to a given date.

Steps

  1. To filter by lots, select a lot or lots from the drop down list.  (All lots with active schedules display)
    1. To select a group of lots:
      1. Select the first lot in the group.
      2. Press and hold the SHIFT key.
      3. Select the last lot in the group, then release the SHIFT key.
    2. To select multiple individual lots:
      1. Select the first lot.
      2. Press and hold the CTRL key.
      3. Select the next lot.
      4. Continue selecting lots until all have been selected, then release the CTRL key.
  2. To filter by Date, use the Date text field to enter the task date or use the calendar icon to select the Date using a calendar view.  Manually entered dates must be entered in the correct format, e.g. MM/DD/YY.  
  3. To filter for one Trade, select the Trade from the pull-down menu.
  4. To filter for one Trade Partner, select the Trade name from the pull-down menu.
  5. Select the Update Filters button.

Update Actual Start and Finish Dates with Projected Date or Today's Date

Automatically inserts either the task projected dates or today's date as the Actual Start and/or Actual Finish Dates. Only one setting may be selected per update; if updating to both today's date AND projected dates, make two separate updates.

The following selections are available to efficiently group multiple task and lot updates:

  • Select Projected Dates or Today radio button to determine whether the task['s] projected date or today's date will be inserted as the actual start or finish dates for selected tasks.
  • To select all Start Dates for update, select the checkbox in the column header.
  • To clear all Start Dates from being updated, un-select the checkbox in the column header.
  • To select all Finish Dates for update, select the checkbox in the column header.
  • To clear all Finish Dates from being updated, us-select the checkbox in the column header.

Steps

  1. Make selections for tasks to be updated from the above list. Suggestion: "We got everything done today EXCEPT....'. Select All Finish for all tasks in all lots, then return to unselect tasks which were not completed
  2. (Reminder: the user may update both start and finish dates by selecting the check box at update finish only)
  3. Confirm or Select the update type; Today or Projected
  4. Select the Update Tasks button.

NOTES:

  • Depending on settings chosen in Project Setup and in Data Library > Schedules or Activities tab, at this point all purchase orders with activities mapped to schedule tasks with finish dates updated may be displayed for approval. See Payment Approval for instructions.
  • Reminder: purchase orders may not be partially approved from Project Quick Schedule task updates.

 

Update Actual Start and Finish Dates with a Custom Date

If you need to update tasks with dates other then Today's date or the Projected date - select the Edit link to make those changes to each task.

 

Manually update schedule task

Steps

  1. Select Edit
  2. Change the Start No Earlier Than date.  Enter a comment as applicable.
  3. Select Save.

Legacy Schedules - One Time Update

When initially starting to use scheduling functionality, the new-to-BuildTopia user may want to use Project Quick Schedule to update all schedules in a project which are currently underway, and bring them up to date. Since each newly-started lot schedule will be in a different state of construction, follow the steps below to update all (or many) schedules one time, or to 'catch up' a schedule whose updates have been neglected over time.

Steps

  1. Filter for today's date and all affected lots, all trades.
  2. Select Projected Dates radio button.
  3. Choose Select All Finish button.
  4. Select the Update Tasks button.
