The user with Project Management permissions can update work started or completed from multiple locations in the Lot Matrix. It is recommended the user update schedules regularly to communicate clearly to all users and trade partners the up to date status of construction in real time. This section describes the processes and steps to update completed work. See Work Not Completed for a discussion regarding updating those tasks.
Schedules can be updated in whole or in parts from the following locations:
If the Schedule Update work approval process is used, purchase orders may be launched for approval as a result of updating scheduled task finish dates. (See Payment Approval for a discussion on this topic.) Depending on which setting is selected in Project Setup, purchase orders may launch at this point for the tasks's associated Trade, or for the activity by task, but not for both trade and task.
Recommended practice: For most efficient workflow, from updating tasks through approving purchase orders mapped to those tasks, use the Project Quick Schedule.

Project Quick Schedule

The user can use the phrase: 'We got everything done today EXCEPT....' in this process. (Per Steps below, select All Finish for all tasks in all lots, then return to unselect tasks which were not completed)
Quick Schedule FilterUsed to filter by lot or groups of lots, by present or future date, and by Trades and/or Trade Partner. Setting a date in the future allows the user to manage the entire project by reviewing all tasks due prior to a given date. Steps
Update Actual Start and Finish Dates with Projected Date or Today's DateAutomatically inserts either the task projected dates or today's date as the Actual Start and/or Actual Finish Dates. Only one setting may be selected per update; if updating to both today's date AND projected dates, make two separate updates. Legacy Schedules - One Time UpdateWhen initially starting to use scheduling functionality, the new-to-BuildTopia user may want to use Project Quick Schedule to update all schedules in a project which are currently underway, and bring them up to date. Since each newly-started lot schedule will be in a different state of construction, follow the steps below to update all (or many) schedules one time, or to 'catch up' a schedule whose updates have been neglected over time.
