Manage Activities

Description

Activities are the smallest items of labor and material used to build the structure on the lot/unit.  Activities can be Turnkey or Unit of Measure.  

Turnkey activities are normally bid as a complete (turnkey) quote per Plan or Option.

Unit of Measure activities are quantity base activities that are Plan-independent and are measured by the number of units required to complete the work or supply the material on a stand-alone basis.  Unit of Measure activities can be further edited to act as Measurement Activities.  When a Measurement Activity is received, the user is prompted to enter the exact quantity received, which becomes the number of units approved for payment.

Steps

  1. Select the Add Activity link.
  2. Use text fields and the pull-down menu to enter:
    • Activity Code # - The number is alpha-numeric text that “codes” the activity.  
    • Activity Code Name - The name of the activity.
    • Trade - The trade associated to the activity.
    • Cost code - The cost code associated to the activity
    • Unit-of-Measure - How is the activity to be measured.
    • Taxable - Is this activity normally taxable?

Note: Taxable information flows down to BC. However, it can be modified on a plan by plan basis at the project level. If this activity is added to a package - the taxable information flows to that package. Draw packages are NOT taxable.

    • Status (pull-down). Defaults to Active
  1. As desired, use the text fields to enter optional information.
    • Scope of Work - The description of the work to be done or the materials to be supplied.
    • Measurement Activity - For Unit of Measure Activities the user will be prompted to enter the quantity when the material is received. Indicate Yes if a final quantity will need to be entered on receipt of the item or No if the item does not require a manual entry of a quantity received.
      • Allowed Variance - For Measurement Activities, the user may define by percentage how many more or less units are acceptable as a variance from the number of units specified in the data library.
    • Template Budget - The unit budget amount for the activity
  2. Select Save to save the activity and return to the Activity List screen.

Steps

  1. Select the Edit link for the specific activity to be modified.
  2. Follow steps 2 through 3 above in the Add Activity sub-task.
  3. Select Save to save the activity and return to the Activity List screen or Select Save & Flowdown to save the activity and flow the changes to other objects the activity is associated too. NOTE:  The data that can be changed is the Scope of Work and the Status.  The Activity Code Number and Name are maintained in the data library only.
    1. Activity Packages - list all activity packages that the activity code is associated.  Check the Scope of Work and/or Status checkbox to update the information and then check the activity packages to be updated.  Select the Update Selected to update the activity package(s) and return to the Activity List or Update Selected & Continue to update the activity package(s) and continue to select other objects to update.
    2. Option Activities -  list all option codes that the activity code is associated.  Check the Scope of Work and/or Status checkbox to update the information and then check the option codes to be updated.  Select the Update Selected to update the option code(s) and return to the Activity List or Update Selected & Continue to update the option code(s) and continue to select other objects to update.
    3. Plan Activities -  list all Plans that the activity code is associated.  Check the Scope of Work and/or Status checkbox to update the information and then check the plans to be updated.  Select the Update Selected to update the plan(s) and return to the Activity List or Update Selected & Continue to update the plan(s) and continue to select other objects to update.
    4. Plan Option Activities -  list all plan option codes that the activity code is associated.  Check the Scope of Work and/or Status checkbox to update the information and then check the plan option codes to be updated.  Select the Update Selected to update the plan option code(s) and return to the Activity List or Update Selected & Continue to update the plan option code(s) and continue to select other objects to update.

Editing Unit of Measure Activities

Data Library > Activities > UM Activity > Edit > Save

Data Library > Activities > UM Activity > Edit > Save and Flow Down

The actual Unit of Measure type (SF, Piece, CY) for Unit of Measure activities can be edited in the Data Library prior to creating a UM Contract.  Edits are automatically flowed down with the Save and Save & Flowdown buttons. See UM Activity Flowdown Matrix.

Save Button:

Edits made to an activity's number, name, cost code, actual unit of measure type [e.g, from linear feet to square feet], template budget amount and taxable status automatically flow down to the following locations:

Data Library:

• activity packages

• plan activities

• plan activity packages

• option activities

• plan-option activities

Project Level:

• plan activities

• plan activity packages

• plan-option activities

Since UM activities are managed at the company level [Data Library] and are not project or plan specific, edits to the unit of measure, scope of work, and activity status are automatically flowed to all Bids when selecting the Save button, but not to Contracts.

Save & Flowdown Button:

The user may wish to allow a different scope of work or activity status for the same activity at the project or plan level. This can be accomplished by editing activities in the Data Library > Plans tab, or by editing activities in the Data Library > Activities tab, and then selecting the Save and Flowdown button. The button allows the user to dictate which plan, package, or option in the following locations will receive changes to the activity:

Data Library:

• activity packages

• plan activities

• plan activity packages

• option activities

• plan-option activities

Project Level:

• plan activities

• plan activity packages

• plan-option activities

Since UM activities are managed at the company level [Data Library] and are not project or plan specific, edits to the unit of measure, scope of work, and activity status are automatically flowed to all Bids when selecting the Save and Flowdown button, but not to Contracts.

NOTES:

  • The purpose of allowing changes to units of measure to flow everywhere in the system is intended to ease initial Data Library and Bidding / Contracting setup.
  • Unit of measure for a UM activity cannot be changed once a contract has been created using the original unit of measure.
  • The user must be aware that flowing a unit of measure change does not take into account quantities entered in Plans for the previous unit of measure, or costs entered into bids. These areas will need to be addressed and modified in addition to simply changing the unit of measure at every level.

  • This function allows activities to be mapped to schedule template tasks for prompt for approval

Steps

  1. Select the Tasks link for the specific activity to be modified.
  2. Select the Schedule task to associate the activity.
  3. Click the Update or Update & Exit buttons to apply the changes.

Delete Activity
