Manage SPEC Workup and SPEC to PA

Description

The user may elect to build SPEC homes from the initial point of planning and construction.  This is sometimes referred to as a "purposeful SPEC."  A user may also build a "SPEC by default."  This occurs when a home is initially under construction from a sales contract but the sales contract is terminated for some reason and the lot/home reverts to a SPEC until a new sales contract is approved.

SR > SPEC List > [Lot Number]

Notes

  • The SPEC Workup specifies the Lot/Plan combination and calculates the associated Base house and Option costs, applicable lot premiums, and any mandatory lot-dependant options.
  • The SPEC List displays all lots released for SPEC or Sale and SPEC.

Select Unit Type

  1. If no plan has been previously selected, select the Select Plan link.
  2. Select the radio button for appropriate plan from the list of Available Plans

Notes: Selecting a plan will delete all options from a previous SPEC workup on this lot, if any exist.

  1. Select the Continue button to continue creating or modifying the SPEC workup, or the Cancel button to discard the SPEC Workup changes.
  2. Change Plan link becomes available in Action column until the SPEC Workup is marked Complete.

Select Options

  1. Select the Select Options link.
  2. Follow the steps in the Select Options section of Pre-Construction Workups to select the options for the SPEC workup.
  3. Select Save button at each Option Category completion.
  4. Select Finish when all Options are selected for the SPEC Workup.

Create NSOs

Notes

  • NSO's are custom options, i.e., they have not been estimated or priced and made available in the Plan at the Data Library for user selection. If allowed by the Builder, the number of NSOs varies from user to user.
  •    Some builders choose to accept and review NSO requests as part of the SPEC process, while others may limit NSO requests on SPEC houses.
  • See Custom Option Management for a full discussion and step by step procedures to create and manage NSOs.
  1. If Custom Options are desired in the SPEC Workup, Select the NSO link.
  2. Follow the Steps in the Create / Manage NSOs to create an NSO for a SPEC Workup.

Mark the SPEC Complete

  1. Select the SPEC Complete link.

Notes:

  • SPEC Status changes to SPEC Complete at both Sales modules
  • Reject or Accept Action Prompt displays on screen at SM > Manage Buyers and SPECS

Notes

  • Spec Accepted - Once the SPEC has been accepted, the Sales Manager can request a Start Date from the Project Manager, and the SPEC is available for purchase and conversion to a PA
  • Spec Rejected - If the Sales Manager rejects the completed SPEC Workup, the SPEC is returned to the SR module in SPEC Workup status, with all selections and NSOs intact. The Sales Rep may then modify and re-submit the SPEC by SPEC Complete link.

Steps

  1. To accept the SPEC Workup, select the Accept link.
  2. To reject the SPEC Workup, select the Reject link.

Note: The SPEC Accepted action adds a Start Date: Request prompt for the Sales Manager to address. at Lot Matrix > Pending sub-tab.

Notes

  • The Sales Rep creates a Workup on a Lot that has been released for Sale and SPEC with a status of SPEC Accepted, per all Steps in Manage Pricing Estimates (Workups).
  • This creates a second Workup for the Lot / Plan combination:
    • a SPEC Workup with Sales Status: SPEC Accepted
    • a Purchase Agreement Workup with Sales Status: Agreement Submitted
  • The Sales Manager may accept the Agreement, changing the status to Agreement Accepted
    • the Lot is now listed in SM > Lot Matrix > Active sub-tab in a status of Sold - SPEC to PA
    • the Lot is now listed in PM > Lot Matrix > Active sub-tab in a status of Sold - SPEC to PA, with a Sales Requests: SPEC to PA Action Prompt.
  • The Project Manager follows the Steps outlined in SPEC to PA Process where Options are consolidated, NSOs are reconciled, and the two Workups are merged into one.
