Manage Task-Activity Relationship

Description

Schedule tasks may be linked to activities for PO generation. This relationship drives PO generation and approval per the lot schedule update - work approval process.

Notes

All of the activities linked to a schedule task will be grouped together on a single purchase order by trade partner for all finalized contracts the trade partner has in place.
The decision to prompt for payment approval upon completion of a task is made in project setup. Choices are:

Show all POs related to the task's trade (trade assigned to task at Edit Schedule Template > Add Phase / Task).
Show all POs related to the task (all activities mapped to tasks will generate POs as described above).
Show no POs.

The task-activity relationship can be updated at the individual lot level from an existing lot activity list.
Task-activity relationships can be mapped in two locations in the Data Library:

Schedules tab
Activities tab

When creating a schedule template at the Data Library > Schedules tab, task-activity mapping copies to the newly created template when the user selects Copy Template.
If you generate purchase orders PRIOR to the generation of a schedule, any defined task activity relationships will not effect how the purchase orders are generated.

NOTE: Task-Activity mapping does NOT copy when importing a schedule template from a lot.

Notes

Draw activity packages cannot be linked to schedule tasks; all other activity packages can be linked to a task as a single activity can.

Steps

Select the Task-Activity Relationship link.
Select either Activity tab or Activity Packages tab.
Select ---None--- (or other task) link under Task column to drop down a list of all tasks in the schedule template. Select the schedule template task to map the Activity or Activity Package to that task.
Click the Save button to save changes.

Steps

Select the Tasks link for the activity you wish to map to a schedule. All active schedule templates will be displayed, with the task currently mapped to this activity in the drop down box.
Drop down the activity list and select the task you wish to assign to the activity or activity package.
Select the Update or Update & Exit button to save changes, or the Cancel button to exit this screen.

Notes

This process will update the schedule template based on the activities/activity packages mapped to scheduled tasks in the lot-specific activity list selected. (Since it updates an existing schedule template, the template must be in use in at least one lot.)

Steps

Select Update from Activity List link.
Select the Project
Select the Lot
Select the Save button to update the Task-Activity Relationships in the schedule template.
